The right questions reveal the right partner

Before you hand over a shipment, you want to know exactly who you are dealing with. The questions you ask a freight broker before hiring determine whether you face unpleasant surprises later — or whether your freight runs smoothly for years. A serious forwarder answers every question below without hesitation and without vague qualifiers.

RBH Fracht operates daily fixed routes from the Netherlands and Germany across Europe. We receive these questions every week — and we are happy to answer them, even while you are comparing us with other providers. Want to take a step back first? Read our guide on how to choose the right freight broker for your business.

On this page you will find the six question areas that genuinely matter, the warning signs to watch for, and the answers you should expect from a reliable partner.

Your checklist

The 6 most important questions to ask a freight broker

1. What experience do you have on my routes?

Ask about specific destinations and frequency. A forwarder running your corridor daily knows the border crossings, transit times and seasonal peaks. Generic answers such as "all of Europe" tell you nothing.

2. Who is my dedicated contact person?

Do you get one name and one direct line, or a generic ticketing system? Also ask who you can reach outside office hours when a driver is stuck en route.

3. What exactly is included in the price?

Ask explicitly about surcharges: fuel clause, waiting hours, loading and unloading assistance, road tolls, ferry rates and any customs fees. Anything not stated in the quote will surface later.

4. How are you insured and liable?

Ask about CMR liability, the terms and conditions applied (AVC, CMR or German ADSp) and the option of additional cargo insurance for high-value goods.

5. How will I be kept informed in transit?

Ask about track & trace, loading and delivery confirmation and — most importantly — who calls you proactively in case of delay. Communication under pressure separates a partner from a supplier.

6. Who handles the customs documentation?

For non-EU destinations: does the forwarder arrange T1 documents, EUR.1 certificates and import declarations, or are you expected to handle that yourself? This can save days of transit time.

What a good answer contains

Four question areas in detail

Experience and network coverage

Ask: "How often do you run my route, and with what equipment?" A strong answer names frequency, departure days and trailer type. At RBH Fracht these are fixed daily connections to Scandinavia, the DACH region, Eastern Europe and the Benelux — using standard trailers, tautliners, mega-trailers and refrigerated trailers.

Pricing structure and surcharges

Ask: "Which costs can still be added after this quote?" An honest answer names fuel surcharge, waiting hours and road tolls up front — not afterwards on the invoice. Also ask whether the rate is calculated per pallet, loading metre or full truck; with part loads (LTL) you only pay for the space you actually use.

Liability and damage

Ask: "What happens if my cargo arrives damaged?" International road freight is governed by the CMR Convention, which sets a statutory liability limit per kilogram. For high-value goods that limit often falls short of the actual value — so always ask about additional cargo insurance.

Communication and references

Ask: "May I speak to an existing customer?" A forwarder with long-standing client relationships says yes without hesitation. Also ask how quickly you receive a quote and within what timeframe damage claims are settled. At RBH Fracht you typically receive a no-obligation quote within 1 working day.

Watch out
Warning signs

When should you walk away?

The answers matter, but the way they are given often tells you more. These signals are reason for caution:

  • ✗ A price far below every other quote you received
  • ✗ No written quotation, only a verbal commitment
  • ✗ Evasive answers about insurance or liability
  • ✗ No dedicated contact person, only a generic email address
  • ✗ Refusal to provide references or client examples
  • ✗ Vague answers about who handles customs clearance

Torn between two providers? Put the same six questions to both and compare not only the rates, but the completeness of the answers.

Answers to your questions

Frequently asked questions about hiring a freight broker

What questions should I definitely ask a freight broker?

Ask at least these six: what experience do you have on my routes, who is my dedicated contact person, what exactly is included in the price, how are you insured and liable, how will I be informed in transit, and who handles the customs documentation? A reliable forwarder answers all six concretely and in writing. For more background, read our guide on choosing the right freight broker.

Which documents should I request up front?

Ask for a written quotation with all surcharges itemised, the general terms applied (AVC, CMR or ADSp) and proof of liability insurance. For non-EU shipments, also ask who arranges the T1 documents and import declaration.

How do I recognise a quote with hidden costs?

A quotation that does not mention fuel surcharge, waiting hours, road tolls or ferry rates is almost always incomplete. Ask explicitly: "Which costs can still be added after this quote?" A price strikingly below other providers usually signals that items are missing.

Can I ask a freight broker for references?

Yes — and you should. A forwarder with long-standing client relationships will share a reference or client example without hesitation. Refusal without a clear reason is a warning sign. RBH Fracht provides references from your sector on request.

What should I ask about liability in case of damage?

Ask about the CMR liability limit per kilogram, whether additional cargo insurance is available, and within what timeframe damage claims are settled. For high-value goods the statutory CMR limit is often lower than the actual value of your cargo.

Should I ask the same questions for a trial shipment?

Absolutely. A trial shipment is exactly the moment to test communication, punctuality and document handling. Start with a single shipment to a concrete destination — for example Sweden — and evaluate before committing to fixed capacity.
